Coaching conditions

Last updated 14 October 2026.

These are the conditions you agree to when you book. They are short, and they are written so you can actually tell what you are signing up for.

What you are booking

A place in a named group for a school term, which is a set number of weekly sessions at a set day and time. The number of sessions and the total are both shown before you pay, and the same figures appear on your invoice. A term is paid for in one payment at the time of booking.

Places are limited and are held only once payment is made, except where the head coach has issued you a link that says otherwise. A link issued by the coach holds the place for seven days, and after that the place goes back to whoever is waiting.

If a session does not run

Weather, courts and illness all happen. When a session does not run, it is made up rather than lost. You will be emailed the same day, told the other days that group runs, and asked to pick one that suits. There is nothing extra to pay, and the make up stays owed to you until it is taken.

Occasionally the coach may decide a credit is fairer than a make up. A credit comes off your next booking automatically and does not expire at the end of term.

If your child cannot make a session

Let the coach know as early as you can. With reasonable notice, the session is made up in another group that week or any following week until the end of term, wherever there is a suitable place. A session cancelled on the day, or a no show, is not made up, unless the coach decides otherwise. Each session is planned around the players booked into it, so please respect the coach's time and give notice when you can.

Stopping partway through a term

If something changes for your family, speak to the head coach. Every one of these is different, and it is handled case by case rather than by a rule. Depending on the circumstances and how much of the term is left, the usual outcome is a credit toward your next booking.

Nothing in these conditions takes away any right you have under the Australian Consumer Law, including where coaching is not delivered with due care and skill or is not as described. Where the law gives you a remedy, these conditions do not limit it.

Free trials

A free trial is one session in one Hot Shots group, and it is one per child, ever, whichever group it is in. It is there so a child can find out whether they enjoy tennis before a family commits to a term.

Turning up

Bring a drink bottle and a hat. Rackets are provided if you do not have one yet. Please arrive a few minutes early, and let the coach know at the start of the session if anything has changed about your child's health, medication or injuries.

Behaviour and safety

Coaching is meant to be enjoyable for everyone on court. Behaviour that makes a session unsafe or stops other players learning will be addressed with you first, and only in a serious or repeated case would a place be ended. If a place is ended for that reason, the unused part of the term is credited or refunded.

The head coach holds a current Working with Children Check, first aid including CPR and anaphylaxis, and public liability cover through the Tennis Australia coach insurance programme.

Photographs and video

Photos and video are sometimes taken during coaching and may be used on our social media. Booking asks you to agree to that. If you would rather your child was not photographed, say so and it is respected, at booking or any time after, no reason needed.

Changes to a programme

Times, courts and groups occasionally have to change, usually because of the venue. You will be told as early as possible. If a change means the group no longer works for your family and no alternative day suits, the unused part of the term is credited or refunded.
